BOOKING TERMS AND CONDITIONS
1. Travel Insurance
Ambassador DMC requests all travelers to obtain comprehensive travel insurance before embarking on their journey, as our services do not include any insurance coverage. Your policy should cover medical and repatriation expenses, personal injury, accidents, death, loss of personal belongings and money, overseas legal costs, and trip cancellation. If you intend to participate in sports or adventurous activities, ensure these are included in your coverage. Please take the time to read and fully understand your insurance policy, including any exclusions. For your safety, Ambassador DMC may request a copy of your travel insurance details in case of an emergency.
2. Reservation
You will be required to pay a deposit when booking with Ambassador DMC. The deposit will be 25% of the full payment (unless otherwise specified). All deposits are non-refundable. Final payment is required no later than 30 days prior to departure unless otherwise stated. Failure to pay the balance by the due date may result in the cancellation of your booking. Some airfares or services must be paid in full at the time of booking. Programmers, prices, services, and conditions are based on those valid at the time of proposal submission and are subject to change thereafter without advance notice until all services have been paid for in full.
3. Pricing
As is standard in the travel industry, prices may fluctuate due to changes in currency exchange rates and demand. It’s possible that different travelers on the same trip may have paid different prices. The Company will absorb any price changes up to 2%; however, if prices increase beyond this, you may be asked to pay the difference. If the increase exceeds an additional 2%, you have the right to cancel your booking.
4. Cancellation Refunds
We deeply regret any decision to cancel your trip to Vietnam, Laos, or Cambodia; however, we understand that there are many reasons for this event.
4.1 If the supplier cancels due to a force majeure event, such as government restrictions, regulations, weather conditions, natural disasters, or similar circumstances, customers will receive a refund based on specific conditions. Cancellation fees for bookings will be determined based on the policies of the local suppliers, as each cruise line and partner may have its own cancellation terms.
4.2 In the event of cancellation by traveler’s decision, we will refund any payment made to Ambassador DMC given that a cancellation fee is applicable. The cancellation fee will be calculated as follows:
4.2.1 Refunds will not be given for unused or cancelled services after the tour arrangements have commenced.
4.2.2 FIT (Individuals): Cancellation charges are calculated from the day the written notification is received by the company or agent as a percentage of the net total tour price as shown plus any surcharges (e.g. ticketed air sectors, other penalties imposed by suppliers such as hotels):
Between 29- 21 days before departure: Charges will be applied based on the costs incurred.
Between 20 days and 15 days prior to departure: 25% of package price
Between 14 days and 8 days prior to departure: 50% of package price
Between 07 days and 1 days prior to departure: 100% of package price
4.2.3 GIT (Groups): Cancellation of tours due to minimum number of participants will be advised 6 weeks before departure of the tour; in which case Ambassador DMC will offer an alternative tour of a similar standard or a refund. Cancellation policy for GIT bookings will be advised separately case by case.
4.2.4 Groups with host: All trips will be listed as either Pending or Confirmed. An Unconfirmed trip is still awaiting the minimum number of bookings to proceed. A trip becomes Confirmed once the minimum number of participants is reached. We strongly advise against booking flights until a trip is confirmed.
- If you cancel an unconfirmed trip, your deposit will be fully refundable.
- If you cancel a confirmed trip 61+ days before the trip start date, your deposit and any balance payments may be transferred to another Ambassador DMC trip.
- If you cancel a confirmed trip 60 days or less before the start date, payments are non-refundable.
- If you fail to show up for your trip or leave early, no refund will be provided.
- We do not accept liability for any unfavorable currency exchange fluctuations when processing refunds.
- If you are unable to attend the trip due to a positive Covid-19 test or regional travel restrictions, you must claim any trip costs through your travel insurance provider.
4.2.5 HOTEL ONLY
Between 45-30 days before departure: no charge
Between 30 days and 15 days prior to departure: 60% of accommodation price
Between 14 days and 0 days prior to departure: 100% of accommodation price
Certain Hotels impose stricter cancellation policies which will be advised separately.
5. Children Policy
5.1 Land Services (accommodation, land transportation, entrance fee, others)
• Child age from 0-2 years old (sharing all services): Free of charge
• Child age from 3-9 years old (without bed): 50% adult rate
• Child age from 3-9 years old (with bed): 70% adult rate
• Child age from 10 years old and above: 100% adult rate
5.2 Visa (visa letter, visa stamp fee): 100% adult rate
5.3 Domestic airfare (Apply for Vietnam Airlines)
• Infant (under 2 years old): 10% adult fare
• Child from 02 – 10 years old: 75% adult fare
• Child over 10 years old: 100% adult fare
6. Alteration of Itinerary
Alterations to your itinerary before the booking is processed are happily accommodated free of charge. We want to provide the best tour possible for you. Alterations after you have received your booking confirmation letter will attract a fee of $50 USD per request. Ambassador DMC reserves the right to modify the itinerary of the tour if air schedules or surface transportation changes, and/or events beyond its control make such alterations necessary. In this event, any increase or reduction in the tour cost will be calculated and charged accordingly. If the tour is to be changed at the client’s request, the client will be required to pay any additional cost in advance.
7. Travel Documentation & Conduct
Ensure that your travel documents are accurate, that you have obtained any necessary visas, and that your passport is valid for at least six months beyond your travel dates. Carefully review your invoice and all other documents we send you immediately upon receipt and contact us right away if any information is incorrect. Failure to arrive on the agreed date for your tour may be treated as a cancellation by you.
You must follow our instructions at all times and agree to indemnify us against any loss or injury resulting from your failure to comply. Conduct yourself properly to avoid causing disturbance or offense to other travelers. You are responsible for any damage you cause to our property or that of any third party. We are not liable for any loss or damage you sustain due to your violation of any laws during the tour. You agree to indemnify us for all third-party claims arising from your actions or participation in the tour.
8. Health Requirements
Clients should take into account all international travel risks and familiarize themselves with health requirements applicable to the areas they intend to visit. The client is solely responsible for checking the safety and security conditions, vaccination, and other health requirements of governments in countries visited or transited.
9. Complaints and Claims
For dissatisfaction with any service Ambassador DMC has provided, please notify your local tour guide or your travel advisor immediately to avoid the potential for similar problems during your trip. In the event of a complaint or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 07 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. Ambassador DMC will not be liable for any claims made later than 07 days after the completion of your tour.
10. Responsibility
• Ambassador DMC will not be liable for any loss, injury, or damage to person(s), property in connection with climatic conditions, sea, fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions, or conditions beyond Ambassador DMC’s control. Neither Ambassador DMC nor any of its affiliates or subsidiaries shall be or become liable or responsible for any additional expenses or liability sustained or incurred by the tour member as a result of any of the aforementioned causes.
• Ambassador DMC shall not be responsible for any wrongful or negligent acts, omissions, or the failure of any equipment operated by any suppliers such as transportation carriers, cruises, and hotels, or any other party not directly owned or controlled by Ambassador DMC.
• Ambassador DMC is not responsible for clients’ failure to comply with customs regulations.
• Ambassador DMC is not responsible for the theft or loss of any valuable item or belonging due to the negligence of the customer.
• Ambassador DMC reserves the right to substitute hotels, flights, or cruise ships, to alter itineraries, or to cancel the tour prior to departure.
• Many of Ambassador DMC’s tour packages include activities that require special precautions. Such activities include boarding and going ashore by boats, climbing hills, entering/exiting tombs and caves, etc. You will receive help and advice from our representatives, but all activities are undertaken at your own risk. Ambassador DMC, its employees, and agents cannot be responsible for any action or event that occurs after the set employees and agents have exercised their duty and taken the necessary measures.
